1. You understand that your assistant does not fetch or retrieve data (stats), create stats or a marketing solution, or read or summarize a meeting recording or call recording. The goal is to improve our written communication with clients and better understand complex tasks and questions, because every email sent to a client or task we work on is a sale. You are either selling a reason why the client should stay with us, or you are selling a reason as to why the client should leave us. 2. When creating a new ticket draft, you understand that your assistant has no access to context beyond the information you enter. 3. When generating a draft for an existing client ticket, you understand that your assistant has access to the communication between you and the ticket you enter (except for links or attachments) and any preferences added to the Kayako Org profile (this applies only to Marketing Stage clients and assumes the ticket you enter as the main client ticket is a ticket linked to the Kayako Org profile via the sender) and that the preferences are clear, direct, and not generic or ambiguous. 4. When generating a draft for an existing client ticket or when getting a clarification, you understand that your assistant cannot read attachments (even if they're attached to the ticket), nor can it read the contents of any links (documents/pages/elements) mentioned in the ticket. 5. When generating a reply or a new email draft, or when wanting a clarification or wanting a answer to a question, you understand that what you enter/select in your assistant matters a great deal. Think of it this way: if your assistant is functional and free of bugs/errors, and you are getting incorrect or nonsensical drafts/clarifications, answers, then you should look at what you have entered, as your assistant generates an output using the information that you entered/select as the primary goal/focus. 6. Ultimately, your assistant works on your behalf, so you are responsible for reviewing the output and then determining whether it's accurate or needs improvement. In terms of drafts, even if it's accurate, you must adjust and customize it to match your specific writing style. 7. Refrain from using abbreviations in the data you enter, as they are understood only by internal staff at Ekwa Marketing. For example, we understand what GMR stands for. Your assistant would not understand it, as such, enter it as Grow My Reviews (App to help clients invite patients to submit an online review) 8. After a clarification, draft or answer is generated, you must click on the "Clear All and Reset" button or click on the "Make a New Request" before making a new request. Not doing this can convolute the previous request and the new request. 9. You understand that you must never assume the output is correct. As such, you agree to review all outputs generated by your assistant. Any mistake or complaint arising from your use of your assistant is your responsibility. This is why you must thoroughly review the output for accuracy and improve it as needed. 10. When creating a draft (new or for an existing ticket), you need to select a draft subsection (you can select one or multiple subsections). For each selected subsection, if you enter information and then unselect the category (intentionally or unintentionally), the entered information is cleared automatically, and the system will ignore that draft subsection when creating the draft. As such, ensure you have selected the correct categories and entered the correct information before requesting a draft to be generated. 11. Regardless of whether you are in Ops or non-Ops, all interactions between you and your assistant are stored and reviewed by senior management to ensure this tool is not misused/abused. Below are the 7 points that would be considered as abuse. 12. Abuse of your assistant is considered when you use your assistant to generate simple drafts and responses. As an employee of Ekwa Marketing/Bizycorp, you must have the capability to write simple and basic responses or get answers to basic questions. 13. Abuse of your assistant is considered when you copy-and-paste email threads (partially or fully). Doing this shows a lack of initiative to read the client's email and write the client's request/task/question in your own words. 14. Abuse of your assistant is considered when you try to generate a draft (new or existing) or get a answer to a question or get clarifications for separate client accounts or businesses (Dr. Smith and Dr. Jane) via one request. This is not only abuse; it can also cause errors and confusion. 15. Abuse of your assistant is considered when you try to generate a draft (new or existing) or get a answer to a question and you select all or dozens of irrelevant Standards/Guidelines categories. You should know which category to select. If you are unsure, seek guidance from your manager. Keep in mind that more Standards/Guidelines will be added over time. 16. Unless authorized by the admin, abuse of your assistant is considered when you generate a draft (new or existing) or get an answer to a question or get a clarification for testing purposes. Only use this app when required, as each submission charges the company. 17. Abuse of your assistant is considered when you do not read and follow the guidelines and instructions mentioned for each feature and subsection. Not following them can lead to incorrect output and, worse, incur costs for a generated output that cannot be used (each submission incurs a charge to the company). 18. Abuse of your assistant is considered when you use your assistant for non-work-related purposes.
